Protect Your LLC. Strengthen Your Fundability.

Formation is only the first step. Urban AZ Financial helps LLC owners build and maintain the business infrastructure needed to keep business and personal affairs separate, properly document important transactions, maintain accurate records, improve compliance, and strengthen readiness for banking, business credit, loans, grants, funding opportunities, and growth.

Why This Matters

Consistent ownership and entity information everywhere it appears

Dedicated business banking, separate from personal finances

Organized financial records you can produce on request

Properly documented owner transactions, loans, and distributions

Current entity status with the state, not lapsed or delinquent

Professional operations that reflect how a real business runs

Better readiness for lender, grant, banking, vendor, and funding documentation requests

Compliance isn't only about avoiding problems. It can also help position the business for opportunity.

LLC Owner Roadmap — Do's, Don'ts & Real-World Examples

Separate Banking

DO keep a dedicated business account. DON'T run business funds through a personal account. EXAMPLE: paying business vendors from a personal card makes expenses hard to verify later.

Distributions

DO record owner distributions when paid. DON'T treat ad hoc withdrawals as informal draws. EXAMPLE: an undocumented withdrawal can look like unexplained cash flow to a lender.

Reimbursements

DO document expenses paid personally for the business before reimbursing. DON'T reimburse without a receipt or record. EXAMPLE: repeated undocumented reimbursements blur business and personal spending.

Contribution vs Loan

DO decide and document whether owner funds are a capital contribution or a loan. DON'T leave it unlabeled. EXAMPLE: an unlabeled deposit can create confusion during a bookkeeping or tax review.

Owner-to-LLC Loans

DO use a written note with repayment terms. DON'T treat it as a casual, undocumented advance. EXAMPLE: a note with terms shows the loan is a real transaction, not commingled funds.

LLC-to-Owner Loans

DO document terms and track repayment. DON'T let the balance sit indefinitely without a record. EXAMPLE: an untracked owner loan balance raises questions during any financial review.

Contract Signing

DO sign as the LLC, with your title, not just your personal name. DON'T sign contracts without identifying the entity. EXAMPLE: signing personally on a business contract can blur who is actually the party to it.

Personal Guarantees

DO understand what a personal guarantee means before signing one. DON'T sign one without reading the terms. EXAMPLE: an unreviewed guarantee can carry personal exposure the owner didn't anticipate.

Adequate Capitalization

DO fund the business with reasonable working capital. DON'T operate on a near-empty account long term. EXAMPLE: chronic undercapitalization is a common flag in lender and underwriting review.

Bookkeeping

DO reconcile books on a regular schedule. DON'T let records fall months behind. EXAMPLE: months of unreconciled transactions delay every financing or grant application.

Related-Company Transactions

DO document transactions between commonly-owned companies. DON'T move money between them informally. EXAMPLE: undocumented intercompany transfers are difficult to explain to an underwriter.

Shared Expenses

DO allocate shared costs between entities with a documented method. DON'T let one entity absorb another's costs without a record. EXAMPLE: unallocated shared rent or staff costs distort each entity's financial picture.

Intercompany Loans

DO use written terms for loans between related entities. DON'T leave them as informal, unrecorded transfers. EXAMPLE: unrecorded intercompany loans can complicate financial statements for both entities.

Insurance

DO maintain coverage appropriate to your operations. DON'T assume the LLC alone eliminates risk. EXAMPLE: a lapse in coverage discovered during a funding review can delay or derail the process.

Active Status

DO file annual reports and keep the entity active. DON'T let good standing lapse. EXAMPLE: a lapsed entity discovered mid-financing can stop the process until it's corrected.

Records

DO keep formation, ownership, and resolution documents organized and accessible. DON'T scatter them across emails and drawers. EXAMPLE: missing records slow down due diligence for any funding or grant request.

Annual Review

DO review compliance status at least once a year. DON'T assume nothing has changed. EXAMPLE: an annual review catches small issues before they become material ones.

What Can Poor Business Infrastructure Cost You?

Incomplete financial statements → financing delay

Ownership agreement mismatch → bank documentation or account issue

Company revenue deposited to a personal account → cash-flow verification difficulty

Scattered grant records → missed or incomplete application

Unexplained owner transfers → underwriting or accounting questions

Lapsed entity status discovered during financing → delay

Better records. Better separation. Better readiness for credit, funding and growth.
